Capital Equipment Sales Assistant

Your Role

Responsibilities

You will be responsible for a variety of administrative tasks in support of sales and service functions, ensuring operations run smoothly and efficiently. Your key responsibilities will include:

• Administering sales and service contracts while effectively maintaining databases (including Scala and C4C)
• Generating detailed reports in the Scala program, ensuring all necessary information is included
• Issuing invoices for payment and forming acts of completed works, ensuring accuracy and timeliness in all documents
• Preparing documents required for participation in tenders, following company protocols and deadlines
• Monitoring payment receipts and providing regular updates to the engineering team
• Supporting the document flow system of the sales/service department for optimal information management
• Preparing draft monthly sales reports, performing monthly closing activities, and collaborating with accounting
• Interfacing with the Logistics department regarding transportation activities
• Overseeing primary documents and facilitating the collection of any missing documentation
• Monitoring receivables to address outstanding payments and ensuring effective account closure
• Providing office support, administration tasks, managing correspondence, and undertaking office purchases
  
  

To Succeed, You Will Need

The Ideal Candidate Will Possess

• A higher education qualification
• A minimum of 2 years of professional experience in sales, logistics, or accounting
• Proficiency in Microsoft Excel, with strong analytical skills to handle extensive data
• The ability to multitask effectively and adapt to a fast-paced environment
• Fluency in the Ukrainian language with an intermediate level of English proficiency
• A positive attitude and goodwill in all interactions
