Global Content Coordinator
Field Notes

Contract: Part-time, project-based (12 weeks)
Compensation: USD $3,000 total (milestone-based)
Location: Remote/ Kyiv
Start: Immediately
About the Project
We are creating a one-of-a-kind functional sculpture + film series from sands of 14 countries and paired with short, authentic interviews of local people who collect that sand. Each artwork is a singular piece: 1/1 piece + 1/1 film (digital provenance; NFT optional).
Countries in our initial library include (subject to final confirmation): Nigeria, Ethiopia, India, Japan, Mongolia, Egypt, Ukraine, Italy, Peru, Brazil, Argentina, Canada (Inuit/Arctic), Haiti, New Zealand.
The Role
We're hiring a Global Content Coordinator to own the pipeline from creator sourcing to signed releases to sand shipments and clean file delivery. You are the operational heartbeat that keeps a multi-country project moving smoothly while the artist focuses on creative direction and production.
What You'll Do
Sourcing & Vetting
Identify, approach, and shortlist one local creator per country (14 total) via Instagram/TikTok/YouTube/Behance and referrals.
Assess portfolios for human storytelling , natural light, clean audio, and reliability.
Contracting & Compliance
Send and track contract packages (Work-for-Hire/Assignment, Talent Releases, Data Consent).
Ensure all releases are signed and stored before final approval.
Production Coordination
Issue the Creator Brief and enforce a simple QC checklist (1080p/4K, daylight, stable framing, clean audio, 3? short interviews + b-roll).
Approve test slates (20–30 sec) before full filming.
Set dates, nudge deadlines, and keep creators unblocked.
Logistics
Coordinate sand shipments (one box per country), labeling and customs
Track parcels from origin to hub/artist; maintain receipts and tracking numbers.
File Hygiene
Maintain a clean folder structure in Drive/Dropbox: per-country subfolders for raw footage, stills, releases, shipping docs.
Enforce file naming conventions.
Translations/Subtitles
After QC approval, arrange translation + subtitles (SRT/VTT) with a vendor.
Reporting & Risk
Run a simple weekly status (Sheet/Notion): progress, blockers, ETA, budget vs. plan.
Proactively flag risks (quality, customs, delays) with mitigation options.
Tools You'll Use
Google Sheets/Docs/Drive, Dropbox or Drive File Stream, DocuSign/HelloSign (or similar), Notion/Trello, WhatsApp/Signal/Telegram, email, basic caption/subtitle vendors. (Frame.io a plus.)
What Success Looks Like
Week 2: 5+ creators contracted and test slates approved; shipping paths confirmed for two countries.
Week 5: 7+ sand shipments in transit/delivered; 5+ creator deliveries pass QC (footage + stills + releases).
Week 8–10: All 14 creators contracted; ?10 sands delivered; releases filed; archive clean; translations in progress.
You Are
A producer/PM at hear t — organized, persistent, calm under pressure.
Excellent written communication (English B2+). Ukrainian/Russian a plus.
Comfortable with contracts & releases , international messaging, and respectful cross-cultural communication.
Strong taste/QC eye (you notice shaky framing, bad audio, harsh light—and know how to fix it).
Spreadsheet-friendly: you live in trackers and love clear labels and versioning.
Proactive problem-solver (customs hiccups, creator delays, missing consent? You have a plan A/B/C).
Nice to have: Experience coordinating multi-country shoots, shipping logistics, basic understanding of biosecurity/customs language, prior work in documentary/short-form content.
Contract & Compensation
USD $$3,000 total fee , paid by milestones :
30% – Week 4: 5 creators under contract; test slates approved.
60% – Week 8: 7+ sands shipped/in transit; 5 creator deliveries QC-approved.
100% – Final (Week 12): All 14 contracted; ?10 sands delivered; releases filed; archive clean.
