Primary Duties And Responsibilities
- To perform duties and responsibilities on the issues of customer service and operation executive in such a way that:
- All tasks in his position are completed in a correct, timely, rapid and cost-efficient manner.
- The number of customers is increased and the loyalty to the customers is established.
- The customer receives the maximum amount of service-quality.
- The needs and expectations of the customer/the other World Courier offices are considered and fulfilled.
- Customer service is constantly available.
- Shipments are sent by the most secure, most rapid, and most efficient way.
- All new relevant and applicable regulations and guidelines are adhered to.
- All relevant customs regulations are adhered to for all imports and exports of industrial service shipments.
- To perform duties and responsibilities on the issues of customer service:
- To coordinate the cooperation between his area of work with all other areas of the Company in such a manner that the flow of information is always free of friction, unimpeded, and a holistically positive coordination is assured.
- To accept jobs by telephone/email/fax/internet.
- To calculate transit-times.
- To raise jobs in TMS and edit these if need arises.
- To select routings by deciding on a single or combination of transportation-types (airplane, car, train, Aerolink).
- To order drivers (pickup/delivery of shipments at the customer, delivery/ pickup of shipments at the freight-company).
- To check collected shipments in the office and prepare them for transport.
- To book and pre-advise shipments.
- To monitor shipments during the transport and react flexibly to any deviation from the plan.
- To check the notes in TMS and handle preadvised shipments continuously.
- To check the planned departure or arrival times of flights (“Post Flight Check”).
- To complete jobs (enter extra-charges, pricing).
- To work securely with all pertinent regulations (ADR/DGR /I ATA) as well as the relevant laws and ordinances.
- To use and maintain the available technical tools (TMS, OpStar, OMNI, JET STREAM).
- To recognize important information and make immediate use of this information (All Stations Emails, Holiday Lists, Ops-Memos, C/H Memos).
- To partake in being 'on-call' regularly.
- To manage the warehouse inventory(supplies) (packaging, supplies, cooling-media, etc.).
- To communicate with national and international World Courier stations/ Aerolink/ agents.
- To build and maintain relationships to contractors/transporters (airlines, handling agents, the Rail, customs, government agencies, veterinarians, suppliers, etc).
- To perform preliminary actions, specifically:
- To prepare and dispose of packaging-materials and cooling-media.
- To mark and label of shipments as per regulations.
- To prepare and/or to procure of all necessary documentation (HWB, MAWB, import or export permit, export customs paperwork, live animal certificate, dangerous goods declaration, etc).
- To сheck transport documents as per GGVS I ADR I IATA-DGR.
- To advise customers through:
- Explanation of the services.
- Explanation of the transport charges.
- Selection of the optimal transport alternative.
- Selection of the necessary documents for the transport.
- Information about irregularities/delays.
- Informing the customer of the delivery data (POD).
- Acceptance, examination and forwarding of complaints.
- To support sales through:
- Forwarding relevant information to the Business Development Manager.
- Preparation and execution of written offers.
- To perform duties and responsibilities on the issues of operation executive:
- temperature control management. To handle special inquiries and shipments regarding temperature control and cold chain management.
- To carry out all customs formalities (Export I Import) through:
- the inspection and/or procurement of all necessary paperwork for the import or export (import or export permit, export customs paperwork, etc);
- the determination of all customs and/or taxes, and entering these in TMS;
- customs declaration (electronic or by internet) at the responsible customs office (Import I Export).
