Program Assistant, Empower Pillar (Hybrid, Full-Time)

We are looking for a motivated Program Assistant to join our Empower Pillar. In this role, you will provide critical administrative and operational support across our Education, Veterans & Youth, and Culture portfolios. You will work closely with the Vice President and PMs to ensure smooth day-to-day coordination of projects and the professional delivery of our programs.

What We’re Looking For:
Experience in administrative support, project coordination, or a similar operational role
Proficiency in Google Workspace (Docs, Sheets, Slides)
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Fluency in Ukrainian and English (B1/Intermediate level or above)
Ability to work effectively in a hybrid/remote environment
Proven ability to manage multiple tasks and meet deadlines
Alignment with Nova Ukraine’s mission and values
What You’ll Do:
Support grant administration by collecting documentation and managing workflows in Salesforce
Assist with case creation and documentation within the management system
Coordinate logistics for virtual and in-person meetings, workshops, and partner visits
Manage meeting agendas, notes, and follow-up action tracking
Assist with procurement, operational processes, and official travel arrangements
Support the onboarding process for new team members in coordination with HR
Prepare and maintain program records, documentation, reports, and presentations
Conduct basic research to support program planning and decision-making
Assist VP, Program and Project Managers with day-to-day project coordination and activities
Would be a plus:
Prior experience with CRM systems, specifically Salesforce
Experience working in the non-profit or humanitarian sector
Knowledge of USAID or international donor reporting standards
Familiarity with event planning and logistics
Work Conditions:
